Fleet Reservations and Bus Requests

Facilities Services operates a rental fleet program for our campus community’s business use. Please visit our online fleet reservations to rent a vehicle. Please familiarize yourself with the motor pool policies before reserving a vehicle.

Passenger Van Training and Mini Bus Orientation

Passenger Van Training is required for anyone driving an Illinois State University 9 or 12-passenger van. Certification is good for four years.

    • Once a driver is passenger van certified, it is active for four years.  After that time, the driver will need to complete the online training course again to re-certify for the next four years.
    • Minibus or mini school bus driver certification does not expire or require re-certification.
    • Email FleetandBuses@ilstu.edu to schedule an in-person orientation for minibus/mini school bus and/or the ADA van.

  • Once you complete the Fleet Driver Certification course, you will be given a certification of completion. Please email this certificate to FleetandBuses@ilstu.edu the same day it is received. 

The Fleet Driver Certification course is required before driving a Passenger Van. This course must also be taken prior to Minibus/Mini School Bus orientation.

Registered Student Organizations

If you are interested in renting a fleet vehicle for your RSO, please submit the RSO Fleet Request Form. RSOs with funding from the Dean of Students Office for fleet reservations should contact the Student Involvement Center with questions about their funding by calling (309) 438-2151 or by emailing StudentOrganizations@IllinoisState.edu.

These items are kept on file, but must be renewed each semester.

*Questions about a Registered Student Organization (RSO) usage of university vehicles should be directed to the Student Involvement Center at (309) 438-3212 or studentorganizations@IllinoisState.edu.

Charter Bus Reservations

If you have a charter bus coming to campus, please contact the parking office to coordinate a pick-up and drop off location, (309) 438-8391.

As of July 1, 2024, Fleet Services will no longer support Charter bookings. University departments should work directly with University preferred charter vendors to secure their charter reservations. To ensure availability, Departments should contact these vendors well in advance of their trip.

Departments should initiate charter bus arrangements directly with the below University-approved vendors as often as possible. When booking with these vendors, no additional contracts should be required. If the trip cost is in excess of $10,000, the University requisition process should be followed with a  requisition and vendor quote submitted through Sharepoint.  If under $10,000, no additional steps should be required. Departments may sign small purchase vendor quotes ONLY for the below pre-approved vendors. 

If a Department cannot secure a reservation with a preferred vendor or if the reservation is cost prohibited, Departments may seek quotes from alternate vendors. These quotes should also include proof of insurance. Once an acceptable quote is received, Departments should submit the quote or contract and current certificate of insurance from the charter vendor to ISU Purchasing through Sharepoint no matter the dollar value.
